Duties and Responsibilities

As Executive Assistant to the NSII Service Line Chief (SLC), the individual will:

  • Support the SLC in Information & Knowledge Management (IKM), communication, marketing, and business administration activities.

  • Act as the primary point of contact for all incoming messages, calls, and correspondence; assess their relevance, impact, and priority.

  • Ensure the accuracy, clarity, and quality of all documents submitted for SLC review and approval.

  • Prepare high-quality briefings, reports, and correspondence for internal and external senior stakeholders (A6/OF6 and above).

  • Organize and prepare the SLC for senior management meetings.

  • Advise administrative staff (B5-level) within service areas on required outputs, formats, and deadlines.

  • Train administrative personnel to improve the quality and consistency of deliverables and assist in managing change initiatives.

  • Liaise with senior management assistants and stakeholders across internal and external bodies, including the COO, COS, GM, ACO, ACT, and Strategic Commands.

  • Manage the SLC’s schedule and email communications.

  • Record meeting minutes and ensure follow-up on SLC taskings and assigned actions.


Requirements

Education:

  • Master’s degree, or Bachelor’s degree with at least five years of relevant experience.

  • Specialization in Business Administration (MBA preferred).

Professional Experience:

  • Minimum of three years supporting senior management (A5/OF5 level or equivalent).

  • Experience supporting leadership responsible for more than 350 personnel in organizations with over 3,000 employees.

Skills and Expertise:

  • Strong written and verbal communication skills.

  • Exceptional organizational and time-management abilities.

  • Expertise in business administration, business communication, business ethics, and business strategy.

  • Advanced analytical and statistical skills.

  • Fluency in English (mandatory).

  • Proficiency in Microsoft SharePoint, Office, and Outlook.

Desirable Qualifications:

  • Background in Information & Knowledge Management and/or Marketing.

  • Experience in industry or commercial settings.
