Senior Accounting Assistant – AR

Duties

Under the supervision of the Senior Administrator (AP/AR), the incumbent will:

  1. Policy & Procedures

    • Assist in developing and documenting accounting policies and procedures.

    • Draft correspondence for higher-level review.

  2. Process Improvement

    • Identify and implement enhancements in accounting processes.

  3. Accounts Receivable (AR)

    • Maintain Customer Data Management systems.

    • Implement and execute the AR process, including issuing invoices and credit notes.

    • Resolve daily operational issues related to AR.

    • Process receivables in compliance with NATO Financial Regulations, Rules, Agency Directives, and contracts.

  4. Accounting Records

    • Maintain accurate AR sub-ledger entries and supporting documentation.

    • Validate and ensure correct allocation of AR transactions to accounts and projects.

  5. Monitoring & Reconciliation

    • Monitor AR aging reports to ensure timely collection.

    • Liaise with Treasury for collections.

    • Reconcile AR sub-ledger with the General Ledger and feeder systems (e.g., project billing).

  6. Reporting

    • Prepare reports on invoice processing and aging balances.

    • Issue customer account statements and resolve processing issues in coordination with other departments/customers.

  7. Audit & Financial Statements

    • Support preparation of Annual Financial Statements.

    • Respond to external auditor (IBAN) inquiries.

  8. Other

    • Work independently with minimal supervision.

    • Deputize for higher-level staff if required.

    • Perform other related duties as assigned.

Qualifications & Requirements

Essential Education & Experience

  • Education:

    • Higher vocational training in finance/accounting/accounts receivable 2 years post-related experience;
      OR

    • Secondary education 4 years post-related experience.

  • Experience:

    • Recent hands-on AR transaction experience.

    • Experience in financial data management and financial statement preparation.

    • Use of ERP/accounting software (preferably Oracle EBS R12 or equivalent).

    • Work in a finance shared services environment.

    • Team collaboration experience.

Desirable Education & Experience

  • Experience in the public sector.

  • Knowledge of:

    • International Public Sector Accounting Standards (IPSAS).

    • NATO Financial Regulations.

    • Oracle R12 AR (intermediate/expert level) and AP modules.

  • Prior work in an international (military/civilian) setting.

  • Familiarity with NATO’s structure and responsibilities.
