Duties

  • Develop, implement, and maintain IT software asset management processes, ensuring accurate lifecycle tracking and documentation.

  • Manage software assets end-to-end: planning, request, procurement, approval, deployment, licensing/operations, retirement, ensuring compliance with regulations/policies.

  • Oversee and optimise NATO software licence management processes: track, monitor, optimise usage to reduce cost and risk.

  • Maintain accurate records of software assets, renewals, and associated costs.

  • Explain complex licensing topics to non-IT staff; deliver training/presentations as needed.

  • Ensure confidentiality and adherence to Data Protection Act, Freedom of Information Act, and NATO Security Principles.

  • Collaborate with IT and business stakeholders to plan and manage software procurement aligned to strategy and budgets across NATO customers/divisions.

  • Provide specialist licensing advice (including to senior management) to support informed decisions.

  • Monitor/report IT asset performance; identify improvement opportunities; drive optimisation initiatives.

  • Support the Head of Software with asset and budget planning, including dashboards, reports, and analysis.

  • Ensure ongoing compliance with relevant regulations, policies, and best practices for IT asset & licence management.

  • Liaise with vendors/suppliers to negotiate contracts, manage renewals, and resolve licence/asset issues.

  • Stay current on industry trends and best practices in IT asset and software licence management.

Requirements

Education

  • Master’s degree (nationally recognised) in a related discipline 3 years relevant post-degree experience, OR

  • No degree accepted exceptionally if candidate has 10 years extensive, progressive experience relevant to the role.

Experience

  • 3 years proven experience as a Software Licence Manager / Software Licence Consultant (or similar).

  • In-depth knowledge of Tier 1 software vendor licensing practices.

  • Experience in service level management and continuous service improvement.

  • Familiarity with ITIL (or other ITSM frameworks).

  • Proven experience managing vendor relationships.

  • Experience managing/leading a small team, preferably in an international environment.

  • Strong communication, negotiation, and customer relationship management skills.

  • Strong analytical and problem-solving skills; able to make data-driven decisions.

Training/Certification

  • ITIL v4 Foundation.

  • Equivalent NATO Grade: G15

  • Location: Braine-l’Alleud, Belgium (full time on-site)

  • Working conditions: Office environment; up to 100 Belgian TDYs/year

  • Security clearance: NATO Secret
