Duties & Responsibilities

1. Strategic Planning

  • Contribute to developing policies, processes, standards, and guidelines for strategy development.

  • Develop, communicate, and support strategic plans and related change initiatives.

  • Ensure stakeholders are aware of strategic approaches and timelines.

  • Collate information and generate reports to support strategy management.

2. Specialist Advice

  • Provide detailed advice on application of specialist knowledge to planning and operations.

  • Maintain expertise in one or more specialisms.

  • Recognize boundaries of personal specialist knowledge and collaborate when needed.

3. Stakeholder Relationship Management

  • Manage issues, resolutions, corrective actions, and lessons learned.

  • Implement stakeholder engagement and communications plans.

  • Collect feedback to measure effectiveness of stakeholder management.

  • Build and enhance relationships with customers and stakeholders.

4. Business Administration

  • Lead strategic initiatives across departments.

  • Organize executive-level meetings: agendas, formats, and outcomes.

  • Provide guidance and track progress of leadership teams.

  • Monitor and report on action points, issues, and risks.

5. Office Administration

  • Manage sensitive and confidential issues.

  • Organize large meetings and conferences.

  • Recommend improvements in office administration practices and workflow.

  • Track industry trends and monitor support staff performance.

6. Additional Duties

  • Monitor project and service KPIs; prepare reports and analysis for the BUO.

  • Support BU Project Managers in project progress, budget adherence, and timelines.

  • Consolidate ServiceNow and EBA statistical reports.

  • Align resource planning with NIMSC RPMO.

  • Coordinate with NIMSC Staff Management Office for recruitment and contracting.

  • Support weekly, monthly, and quarterly project/service situation reports.

  • Act as liaison between BU and NIMSC Front Office.


Education & Experience Requirements

Essential

  • Education: Bachelor’s degree in a relevant field plus 2 years post-related experience; or 6 years of relevant professional experience without degree.

  • Experience: Minimum 2 years in management support, project coordination, or professional-level activities.

  • Skills:

    • Multi-tasking and time management under pressure.

    • Clear, concise presentation of complex issues.

    • Excellent writing, editing, and communication skills.

Desirable

  • Business process design and implementation.

  • Resource planning, personnel management, and budgetary planning.

  • Proficiency with Microsoft Office.

  • Strong organizational, coordination, and communication skills.

  • Training/Certifications: Management of Risk, PRINCE2 Foundation.
