Duties & Role

Under the direction and supervision of CQO RPMO, the contractor will perform the following:

1. Knowledge Management System Administration

  • Maintain and update internal knowledge repositories (e.g., SharePoint, document management systems).

  • Ensure information is accurate, organized, accessible, and compliant with policies.

2. SharePoint Portal Management

  • Update and enhance CQO SharePoint portals.

  • Collaborate with stakeholders to gather requirements and implement improvements.

  • Design intuitive, user-friendly portals to support effective collaboration.

3. Administrative Coordination & Support

  • Schedule meetings and coordinate logistics.

  • Prepare agendas and meeting documentation.

  • Take minutes and track action items.

4. Training & User Support

  • Provide guidance and basic training to staff on knowledge management tools and administrative systems.

5. Continuous Improvement Support

  • Identify gaps in information flow.

  • Recommend improvements to systems, processes, and collaboration practices.

6. Document Control & Records Management

  • Develop, implement, and monitor digital and physical filing systems.

  • Manage CQO CIS assets inventory.

  • Ensure compliance with organizational and data protection policies.

7. Information Organization & Archiving

  • Classify, tag, and archive documents according to established taxonomies and retention schedules.

8. Internal Communications Support

  • Assist in preparing newsletters, internal updates, presentations, and briefing materials.

9. Quality Assurance & Compliance Monitoring

  • Ensure documentation and records meet internal standards and regulatory requirements.

10. Additional Duties

  • Perform other related tasks as required.


Requirements

Technical Qualifications (Mandatory)

  • Advanced knowledge and proven experience in Information and Knowledge Management (IKM) and Information Management.

  • Advanced knowledge of SharePoint, including:

    • SharePoint site design and development

    • Permissions management

    • Workflows

    • Document management

    • Content management

  • Advanced knowledge of MS Office package.

  • Demonstrated experience designing intuitive and user-friendly SharePoint portals.

  • Minimum 3 years of experience in IKM and SharePoint.

  • Valid security clearance at minimum NATO Secret level.

  • Excellent spoken and written English communication and presentation skills (demonstrated within the past 5 years).

  • Ability to work independently and as part of a team.

  • Strong attention to detail and problem-solving skills.

Desired Qualifications

  • At least 3 years of experience in a similar role and organization.

  • Customer-focused and detail-oriented approach.
