1. Resource Management Support
- Support the Project Manager (PM) in project resource planning
- Enter and maintain resource plans in ServiceNow
- Review and approve time cards on behalf of the PM
- Monitor resource utilisation and rebalance plans when needed
- Replan resources as directed by the PM
2. Project Planning Support
- Create and maintain Work Breakdown Structure (WBS) in ServiceNow
- Update and track task progress and completion status
- Monitor project schedules and timelines
- Adjust and replan schedules under PM guidance
3. Risk Management Support
- Maintain and update the project risk register in ServiceNow
- Monitor risk status and changes
- Track and follow up on mitigation actions
4. Reporting Support
- Collect inputs and prepare project status reports
- Support preparation of exception reports using standard templates
- Assist with external project reporting
5. Data Quality Monitoring
- Monitor project data quality indicators
- Recommend and implement improvements where needed
6. Procurement Support
- Create Purchase Requests (PR) for materials and services
7. Documentation Management
- Maintain project documentation in line with Agency standards
- Prepare and update documents using official templates
- Record minutes of meetings (MoM)
8. General Support
- Perform any additional duties assigned by the Project Manager
Essential Requirements
- Higher vocational education in a relevant discipline 3 years relevant experience
OR - Secondary education 5 years relevant experience
- Experience in administrative and coordination roles in project management
- Experience using project management tools (preferably ServiceNow)
Desirable Requirements
- Formal Project Management qualification (e.g. PRINCE2 or PMP)
- If not held, equivalent experience and demonstrated expertise may be accepted
